2016 IUG Enhancement Voting

As a member of IUG, University Libraries is eligible to vote for 2016 IUG Enhancement ballot items.  As IUG liaison I’m the person designated to complete the ballot. Based on your input I’ll cast votes in each of the categories that are applicable to our Sierra system.

  • Below are the page numbers for the functional areas applicable to our Sierra system set-up. Look over the ballot items in each section that corresponds to the function(s) you use in Sierra.
  • Select up to the maximum number of ballot items allowed in each functional section. Copy and paste the Ballot # into a list. Examples: ACQ-1 Funds, CIR-40 Patron Record.
  • Some sections may be of interest to all: Create Lists, Core Functionality, WebPac, Statistics and Reporting
  • Once you have completed your list(s) of ballot items, send them to me by 12:00 pm (noon) on Monday 2/29.

Sierra: Update 2.0 SP3 to be installed on 1/6/2016

The Sierra application and database servers will be updated to Sierra 2.0 SP3 at 6:00 am on Wednesday January 6,, 2016. Sierra will be down for 45-60 minutes during the update but should be back up and running well before 8:00 am.  Some libraries have reported issues launching the Sierra Desktop App (SDA) after the 2.0 SP 3 update. This is due to those sites using an older method to download and install SDA. This shouldn’t be an issue for most, if not all UL workstations as we’ve been using the new and recommended method of installation for quite a while. Just in case, Michael, Gregg and I will be in by 8 am to handle any Sierra issues.

  • Since the update requires a reboot, you’ll need to open Sierra when you arrive to work on Wednesday.
  • At 8:00 am on January 6th, one of us will make rounds to the Bierce circulation service points, one of us will check in with Science, and the other will monitor Footprints for any reported issues.
  • Please open a Footprints ticket if you are unable to launch Sierra or have any post-update problems or issues.
  • This update includes all Sierra 2.0 SP1, SP2, and SP3 enhancements and also resolves several known issues.
  • This update also introduces new Sierra APIs, including support for read/write APIs.

Sierra Review Files Reconfigured

Sierra Review files have been reconfigured as follows:

  • 100 review files are available to create lists
  • Review file sizes range from 100 records to 500,000 records
    • 100 10 files

    • 5,000 20 files
    • 10,000 15 files
    • 25,000 10 files
    • 50,000 4 files

Reminders:

  • Restart Sierra to see the new review file configuration.
  • Take care when selecting a review file. Make sure you are selecting an empty review file or you are overwriting your own review file.  If you’re overwriting a review file, please take a moment to look at the message on screen and make sure you are not overwriting someone else’s review file.
  • Be respectful and courteous to others and empty your review file(s) when you have completed your work.

Current Progress on the Sierra Data Dictionary

The Sierra Audit Data Dictionary for Items, Locations and Patrons are now complete and available to view in Sharepoint. Excel documents are located in Access Services Committee –> Shared documents –> Sierra Audit. If you are interested in looking at the in-progress wiki that we have been using to collaborate on the Sierra Audit, let me know and I can grant you viewing permissions.

Sierra: Update 1.2.2 installed on 11/11/2014

The Sierra application and database servers were updated to Sierra 1.2.2 (1.2.2_6) on appx 2:30 am on Tuesday, November 11, 2014.

This update resolves several reported known issues.

Sierra: Update 1.2.1 rescheduled for 7/17/2014

Sierra: Update 1.2.1 to be installed on 7/15/2014

The Sierra application and database servers will be updated to Sierra 1.2.1 on Tuesday, July 15th. There is no downtime required for this update. However, a restart will be required after the install in order to download new SDA (Sierra Desktop Application) software.

This update resolves several reported known issues and includes the new read-only API feature that will all Sierra to interact with other systems.

Internal Use Counts and YTDCIRC/LYRCIRC for statistics gathering

In preparation for the new statistical year starting today, July 1, 2014, changes were made to the Internal Use Count fields and also starting today we’ll begin to use the YTDCIRC field to track item checkouts for statistical year 14/15. Starting in statistical year 15/16 YTDCIRC counts will be moved to the LYRCIRC field and YTDCIRC will be reset to zero.

Internal Use Counts

Internal use counts are used to collect in-house usage statistics for library materials that do not circulate. These statistics (counts) can be stored in the INTL USE,  IUSE3, and/or COPY USE item fixed fields depending on the purpose of the count.  These fields have been renamed in our Sierra system as follows:

Internal use counts track activity that doesn’t involve a circulation transaction such as a checkout, renewal, or booking.  IN HOUSE COUNT will be used to track in-library usage of materials and will be zeroed out at the end of each statistical year. The PROJECT USE and SPECIAL USE fields can be used for library projects, gathering short-term usage statistics, small area inventories, and such. These fields will be zeroed out as necessary, depending on the duration and scope of the usage.

Zeroing the counts in these fields does not impact stored circulation data in the In house  or  Circ Activity Web Management Reports as these reports draw from historical data stored on the Sierra server . However, “real time” reports such as Sierra Statistics or the Title Circulation Report  draw from the record as it is at the time the report is being run, not as it was at a specified time period.

Later this summer we will start offering a Sierra Training session on how the IN HOUSE COUNT field will be used, how the PROJECT USE and SPECIAL USE fields can be used, and how to run reports and gather statistical information from these fields.

YTDCIRC and LYRCIRC

Sierra uses the YTDCIRC field in the item record to automatically count the number of times an item has been checked out during a statistical period. Sierra uses the LYRCIRC field to store the number of times an item was checked out during the previous statistical period.

At the end of the statistical year the count in the YTDCIRC field will be moved to the LYRCIRC field and the YTDCIRC field will be zeroed out.  These counts may be used during the review process by comparing the TOT CIRC (total circulation) field to YTDCIRC and LYRCIRC fields or they may be used for other statistical purposes.

Sierra: Update 1.1.3 installed on 1/7/2014

The Sierra application and database servers were updated to Sierra 1.1.3 on Monday January 7, 2014. A  restart is required in order to download new SDA (Sierra Desktop Application) software..

This update resolves several reported known issues and introduces some new functionality including the following:

  • Rapid Update now defaults to “single record” rather than “multi record”
  • Navigation improvements in multi-window mode when editing records from a browse results screen.
  • Globally Purge Fines now includes a progress indicator and the summary display of changes has been improved.
  • Web Management Reports are now available within the Sierra Desktop Application.
